Daily 5, Needs Reply, Awaiting Reply, Going Cold — what each section means, what every button does, and the short list of skip patterns that keep your day clean.

Four sections stacked top-to-bottom. Same rhythm every time.

Glance at the section counts.
Daily 5 = your warm-list to reach out to. Needs Reply = inbox waiting on you. The other two are slower-burn.

Tap a card to expand.
You'll see the relationship note, the last email exchange, the AI draft (if any), and the action buttons.

Act, snooze, or skip.
Send the draft, copy the LinkedIn DM, snooze for two weeks, or mark "Not a priority" — all reversible.
The point: The app does the prioritization for you. The People tab is just the action surface — your job is to decide and move, not to organize.
2The four sections
① Daily 5
5 warm leads chosen by the lead scorer. Proactive outreach — these aren't waiting on you, they're ripe for a touch.
② Needs Reply
Email threads where the ball is in your court. Pulled live from Gmail.
③ Awaiting Reply
People you've written to who haven't responded. Quiet section — surfaces when a follow-up is due.
④ Going Cold
Hot threads that went silent. The reactive flip side of Daily 5.
Each section header has a count badge and a › chevron — tap to collapse/expand the whole section.

Score + days dormant (e.g. Score 87 · 12 days).
Score pill on the right — color-coded.

📝 Relationship context — your private note about this person. Tap to edit. The AI uses this for drafting.
Last email bubble — most recent inbound or outbound, for context.
Draft card — if an AI email draft is ready, you'll see it here with a primary Send button.

⏱ Snooze 14d
Short break. Contact disappears from the queue for 2 weeks. Use when you've already touched them this sprint.
✕ Not a priority
Long skip — 1-year snooze. Contact won't surface in Daily 5 / Going Cold again. Nothing in HubSpot or pipeline changes. Reversible from settings if you ever need to revive them.
in LinkedIn
Opens the contact's LinkedIn profile in a new tab. Use this when you'd rather DM than email.
in LinkedIn Draft
Only shows if a LinkedIn DM draft was pre-generated. Copies the draft to your clipboard and jumps to the contact's profile so you can paste & send.
✉ Gmail
Opens the contact's email thread in Gmail (web) so you can pick up there if you'd rather work outside the app.
Snooze vs. Not a priority — the practical difference: Snooze 14d is for "come back to me later this month." Not a priority is for "this lead isn't worth my attention right now — get them out of my queue." Either way, the contact stays in HubSpot, the pipeline, and search.
4Needs Reply — the inbox section
These are email threads from Gmail where the latest message is inbound and you haven't responded. The app pre-drafts replies for many of them (look for the ★ draft star).
Swipe gestures

Skip — opens a skip sheet so you can tell the app why (snooze, not relevant, FYI only). Keeps the contact in your radar without an explicit reply.
← Swipe left
Archive — the thread is marked reviewed and disappears. Comes back only if a new message lands on the same thread later.
Tap a row to expand
Full thread bubble with the latest message body.
AI draft (if generated) — edit inline, then tap Send or Edit in Gmail.
Stale banner if the draft is older than the latest inbound — regenerate before sending.
Secondary row with in LinkedIn (if the contact's profile is resolved) and the same Snooze options as Daily 5.
Badges to watch for
FYI — classifier thinks no reply is needed. Often safe to swipe-archive.
Ack — a short "got it, thanks" would close the loop. Send the draft and move on.
Call Notes — AI-generated notes from a coaching call. Open to draft a follow-up.
Workflow tip
Start at the top, glance at badges. Anything tagged FYI or Ack → swipe through fast. Everything else → expand, read, send the pre-draft (or write your own). Most days you'll be through this section in under 10 minutes.
5Relationship notes — the secret weapon
Every contact card has a 📝 Add relationship context button. This is where you write your private notes about who this person is, what you've talked about, why they matter.
Why it's powerful: The AI uses this note when drafting outreach & replies. Putting "met at the Skai event in May, sister just had baby, runs ops at a B-Corp" turns a generic warm intro into something only you could have written.
Free text — what you'd write on a sticky note.
Relevant topics — keywords that should color future drafts (e.g. burnout, exec coaching, founder fatigue).
Auto-suggest — tap ✦ to have the AI seed the note from existing signals (HubSpot fields, prior emails). You edit from there.
30 seconds well spent. When you find yourself thinking "I should remember this about them" — add the note. Future-you and the AI will both thank you.

7When something feels off
Wrong person in Daily 5
Tap Not a priority. They won't surface again for a year. The scorer learns implicitly from your skips.
Draft sounds wrong
Edit it inline before sending. Or open in Gmail and rewrite from scratch — the app marks the draft "used" either way.
Accidentally archived
Tap the undo toast that appears for ~6 seconds after every action. After that, the thread will re-appear next time a new message lands on it.
Contact missing LinkedIn
The LinkedIn button only appears when we have a resolved profile URL. If it's missing, we haven't matched them yet — manually grab the URL and Aaron can patch it in.
Score seems wrong
The scorer runs nightly. New signals (open, click, reply) take ~24h to reflect.
When in doubt
Snooze beats deciding. If a contact isn't urgent today, snooze 14d and move on. The app will gently bring them back when they're worth revisiting.

The People tab is built so you can move through it on autopilot — tap, decide, snooze, send, swipe. Every action is reversible, and nothing on this screen ever damages a contact in HubSpot.
Read this once. Then forget it. The patterns become muscle memory within a week.
